First separate the printer’s own readiness from the device’s connection to it. Check its display and, if the manual provides one, a printer-generated status page. Then compare one other device or one other file. Reinstalling everything at once destroys useful evidence and may not address the failing layer.

Check the connection you actually use
For USB, confirm the supported cable, port and selected instance. For network printing, compare the printer’s current network with the client’s allowed local access. Guest isolation, a changed router or a managed network can explain why a printer is unavailable even when the internet works. A Wi-Fi icon by itself is not proof of reachability.
A controlled recovery sequence
- Read and record the displayed printer state.
- Check the physical route or current network connection.
- Confirm the exact printer instance selected by the application.
- Inspect the queue for a blocked or unwanted earlier job.
- Try one neutral page after correcting the identified issue.
- Use the OS’s official troubleshooter or manufacturer guidance if the fault persists.
Power cycling and re-adding
A documented restart can refresh a connection, but allow the printer’s shutdown to finish and do not interrupt updates or maintenance. Microsoft’s offline guide includes queue checks, service restart and removing/re-adding a printer as later steps. If you re-add, preserve presets and identify the old instance so you do not leave two ambiguous copies.
Avoid high-impact shortcuts
Do not factory-reset a printer until you know the settings it erases. Do not disable network security broadly, expose printer ports online or download a third-party driver fixer. On a workplace network, have the administrator confirm the approved route. A failure intentionally caused by network separation is not solved safely by bypassing that separation.
What to record for support
Include the model suffix, OS version, USB/Wi-Fi/Ethernet route, error text, whether the printer’s internal page works and which other device or app succeeds. Exclude private documents and network passwords. This compact record helps support distinguish a printer fault from a client or routing fault.
