A searchable PDF needs image capture plus text recognition. A scanner producing a PDF does not necessarily run OCR, and a document that looks correct can contain recognition errors. Choose a supported scan route, check the pages and verify the text before relying on search or copying figures.

Choose the original path
Use the glass or feeder permitted for your originals. Check the scan area and ADF restrictions independently of the printer’s paper input. A legal-size print capability does not prove that the glass scans a legal-size original. For two-sided pages, confirm whether the feeder captures both sides or whether the software requires manual turning.
Prepare a controlled capture
- Remove clips and staples from originals intended for a feeder.
- Put pages in a documented order and mark the first page in a non-sensitive test pack.
- Choose a document mode and resolution appropriate to the text size; 300 dpi is a starting assumption to evaluate, not a universal optimum.
- Inspect the preview for clipped edges, skew and faint writing.
- Scan every required side and confirm the expected page count.
- Save a working copy before editing the result.
Run OCR deliberately
Confirm whether the manufacturer’s application includes OCR, requires an additional component or simply saves images. Select the language used in the document. For mixed languages or small print, inspect representative pages rather than assume recognition accuracy. If the software creates a searchable image PDF, the visible scan and its invisible text layer can disagree.
Search for a distinctive phrase and copy a short passage into plain text to inspect it. Check dates, account numbers and decimal points manually. OCR is convenient for discovery; it is not a verified transcription of a contract, invoice or official record.
Organize before sharing
Use a filename such as 2026-10-06_supplier_invoice-reference.pdf rather than scan001.pdf. Confirm orientation, order and blank-page handling. Keep the original scan until you have verified any compressed or OCR version. If you redact information, use a workflow that actually removes the underlying content; drawing an opaque rectangle is not proof of redaction.
Choose the destination with care
Local scanning avoids a cloud destination, but does not guarantee that every application stores data only locally. Read the app’s destination and account settings. Scan-to-email, scan-to-folder and scan-to-cloud are separate functions with separate setup requirements. Do not upload a sensitive document just to troubleshoot whether the scanner works: use a neutral test sheet.
A repeatable acceptance check
- Correct number of pages and sides.
- Readable text at normal zoom.
- No missing edges or accidental rotation.
- Successful search for a known phrase.
- Critical figures checked against the original.
- Output opens on the device used by the recipient.
The ADF comparison helps you choose the hardware path. App, OS and OCR availability must then be verified separately. This workflow is editorial guidance, not a measured scanner test.
